- Wisconsin Nurse Aide Registry status (for CNAs)

- Educational background and training history
- Employment history, work experience, and professional references
- Social Security Number (for background checks and payroll processing)
- Date of birth (for identity verification and background checks)

- Matching credentialed clinicians with appropriate facility coverage requests

- Conducting required background checks and reference verifications
- Facilitating per diem, short-term contract, temp-to-perm, and emergency coverage placements
- Processing payroll and managing employment records for placed professionals
- Managing facility staffing requests and coordinating placement logistics
- Supporting career advancement program referrals and training partnership connections
3.2 Communications
- Responding to staffing requests, inquiries, and support requests — target response within 2 hours for urgent requests
- Sending application status updates and placement notifications
- Communicating available shifts, coverage opportunities, and assignments
- Sending emergency SMS alerts for urgent staffing requests (facility contacts who submit emergency requests)
- Providing account management, billing, and customer service communications
- Delivering newsletters, platform updates, and healthcare staffing information (with consent)
- Notifying registered professionals when SelectLocums and IdealShifts platforms launch in 2027
3.3 Legal and Compliance
- Verifying identity and preventing fraud

5.2 With Healthcare Professionals (Facilities)
When presenting candidates to facilities, we provide credential documentation, professional background, and availability information sufficient to allow an informed placement decision.
5.3 With Service Providers
We work with trusted third-party providers under data processing agreements, including:
- Background check companies (national criminal, OIG/SAM exclusion, sex offender registry)
- Wisconsin DSPS and Wisconsin Nurse Aide Registry (credential verification)
- Payroll and HR processors
- Website hosting and technology infrastructure providers

- Healthcare Information and HIPAA
6.1 Our Role
Vetted Healthcare Group LLC is a healthcare staffing company, not a healthcare provider or covered entity in the traditional HIPAA sense. We do not provide medical care, and we do not maintain patient health records as part of our staffing operations.
6.2 Professional Credentialing Information
The professional information we collect about clinicians — licenses, certifications, work history, background checks — is professional workforce information, not Protected Health Information (PHI) as defined by HIPAA.
6.3 Placed Professionals and Facility HIPAA Obligations
Healthcare professionals placed at Wisconsin facilities operate within those facilities’ HIPAA frameworks. All placed professionals are expected to comply with applicable HIPAA requirements at their assigned facilities, including patient confidentiality and protected health information handling protocols.
6.4 Business Associate Agreements
Where our staffing activities require access to facility systems or information that may involve PHI, we enter into Business Associate Agreements (BAAs) with those facilities as required by applicable law.
6.5 CMS Minimum Staffing Compliance Documentation
We maintain placement documentation supporting facility compliance with CMS minimum staffing requirements for skilled nursing facilities. This documentation includes credential verification records and deployment records that facilities may use for survey readiness. This documentation does not include patient health information.
